Moving over is easier than you think
Changing systems is the part every committee dreads. We do the heavy lifting: bringing your data across is part of your £395 setup, which you can spread across your first year, so your society starts with its audience, shows and members already in place.
What comes with you
Your data, brought across.
Send us what you have, whether that's exports from your current system or spreadsheets someone has kept for years, and we'll import it as part of your setup.
Your audience list
Names, email addresses and contact details, matched by email so nobody appears twice. We bring across who has opted in to marketing, so you only email people who agreed.
Your shows
Past and upcoming productions, with dates, descriptions and posters, so your website has your history from day one.
Your members
Your membership list, with each person's type and renewal date, ready for renewal reminders to start working.
Your web address
Keep the domain name you already have. Point it at TheatreHQ and your audience won't notice anything except a better website.
How it works
Six steps, no gaps.
- Have a chat. Tell us what you use now, what you'd like to bring across and when your next show goes on sale. Get in touch.
- Send us your data. Export what you can from your current system, usually as CSV files, and gather any spreadsheets. If you're not sure how, we'll help.
- We set you up. We import your audience, shows and members and get your site ready, while your old system carries on as normal.
- Check it together. Look through your new site and admin, add anything we've missed, and try a test booking.
- Go live. Point your domain at TheatreHQ and set up redirects so old links keep working. See Using your own domain name and Setting up redirects.
- Switch the old system off once its last show is over and you've downloaded anything you need to keep.
Good timing
Tips for a smooth move.
- Switch between shows. Don't move partway through a run. Finish selling your current show where it is and put the next one on sale in TheatreHQ.
- Download your old reports first. Sales history and payouts from your old platform are worth keeping for the treasurer.
- Tell your audience. A short email saying where to book next time avoids confusion, especially for regulars with old links saved.
- Respect old consents. Only people who agreed to marketing emails should be marked as opted in. When in doubt, leave them out, then ask them to sign up.
